Customize auto messages

Auto messages can be customized with data from your school information system (SIS) using a secure transfer file protocol (SFTP). This can include information such as student name, school name, or periods missed.

Before you begin

Set up an auto message so you can add custom fields.

Format your CSV

Auto messages are sent to student numbers based on data in your recurring CSV export under the column header student_number. To add custom data to your auto message, you’ll need to create additional columns in your CSV for the information you want to include.

To include a student’s first name in an auto message, for example, create a new column in the CSV file with the first name associated with each student number. The column header should be descriptive and easy to remember, like name, since you’ll be using it to compose your message in the next step.

TIP: To minimize delivery errors, keep column headers as straightforward as possible. In particular, avoid including commas in your custom data (like “CITY, STATE”).

Compose your auto message

You can add custom data fields to your auto message in the composer. In the message body, type the name of the desired column header enclosed by two curly brackets on either side. In the example above, typing {{name}} will add a student’s first name to the message.

If the CSV file is formatted correctly, the custom data field will be highlighted in blue. From here, you can finish setting up your auto message the same way as you usually would.


Errors to avoid

As you're creating a customized auto message, watch out for the following errors:

Custom field is too long

Make sure that your message does not exceed 600 characters after custom fields have been added. If your customized auto message is too long, the message will be truncated to fit this character limit.

Custom field is missing

Make sure that every student number has corresponding custom fields in your CSV. If a student number is missing a custom field, the message will be sent with the CSV custom field name in place of personal, customized information.
